Using tags

Tags offer an easy way to add extra context to workspace items, letting you categorise them with any terms you choose. This makes filtering your views simple and helps you quickly find items when searching. It is possible to tag the following workspace items:

  • Activities
  • Participants
  • Budget items
  • Expenses
  • Reports
  • Groups
  • Tasks
  • Folders
  • Documents
  • EMDocs

Follow the instructions below on how to:

Create and add tags to items

    Open an item in the sidebar by clicking on the item or by clicking on its "Edit" icon.

    At the bottom of the sidebar, click into the tags field and enter a tag. Then click +Add ... or press Enter on your keyboard. The new tag is created and added to the item.

    Tip: When you start typing a tag, a list of existing tags that begin with the same letters will appear above. If one of the suggestions matches your tag, simply click on it.

    Note: Tags must be at least three characters long.

    Click Save at the bottom of the sidebar.


    Remove tags from items

    Open an item in the sidebar by clicking on the item or by clicking on its "Edit" icon.

    At the bottom of the sidebar, click the X next to the tag in the tags field to remove it.

    Click Save at the bottom of the sidebar.

    Using tags to search items or filter views


    Filtering data tables

    Open the data Table View and, if not yet done, add the "Tags" column to the table using Table Settings.

    In the "Tags" column header, click the dropdown and choose the tag you want to search for; the table is filtered by it.

    Tip: You can also filter by more than one tag at a time by ticking several tags. This will show you all items that have those tags.

    Using global filters

    You can use tags as a global filter to see throughout all Table Views only the items with particular tags applied.

    Click Filter at the top right corner, this will open the "Filter options" dialogue box.

    Next to "Tag" click the dropdown and select one or several tags by ticking them, and then click anywhere outside of the box. 

    Tip: To find tags faster, simply start typing them in the search field:

    Click Apply at the bottom of the dialogue box.

    The filter is applied and now you can see across "Workplan", "Participants", and "Resources" sections only those items that have at least one of those tags that you set in the global filter.
